We investigate what the file actually does: calculations, record keeping, scheduling, approvals, or coordination between other tools. Those jobs may need different solutions.

The first improvement might be a clearer owner, a simpler template, an agreed source of truth, or fewer steps. Replacing a spreadsheet is justified only when it solves a problem the team can explain and assess.

Keep the parts that work.

Where the workflow needs more structure, we compare practical options: configuring existing software, adding a small integration, or building a focused internal application. We consider permissions, history, recovery, maintenance, and how staff will use the result.

A new interface alone does not resolve an unclear process. Before building, we define the states a record can occupy, the decisions people make, and how exceptions should be handled.

Plan the change around the people using it.

If implementation is appropriate, the work includes a transition plan, agreed checks on existing information, and a way to recover if the change causes problems. Ownership and documentation belong in that plan.

Success might mean fewer reconciliations, clearer status, or less dependence on one person. We establish the intended outcome before choosing the technology.
